Due to continued growth Stewart Travel – Scotland’s most dynamic Travel Group – is looking for an Administrator to join their small team of Travel professionals. This is a varied role coordinating all aspects of the employment life cycle. Your focus will be mainly administrative however as the business develops there will be opportunities for the right candidate to grow. This position is based initially in Ayr or Glasgow but after training will be a more hybrid working opportunity. There may also be opportunities for visits to other business units throughout the UK, so a degree of flexibility is desirable. This is an exciting opportunity for someone looking to find an entry-level role into HR to assist in the day-to-day responsibilities.

Key Responsibilities
- Provide accurate information to employees across the business on a wide range of topics in the employee life cycle.
- Administration of employee milestones.
- Update and maintain employee personnel files ensuring accuracy and compliance under GDPR and other data security protocols.
- Manage HR shared inbox and careers inbox.
- Competently utilise our recruitment software, ensuring all candidates are responded to and managers are aware of them.
- Collaborate with managers to ensure the streamlined process of probation periods and employment status.
- Preparation of employee paperwork, including confirming interviews, sending out offer letters, liaising with other departments regarding start dates and preparing contracts when necessary.
- Maintaining & maximising the use of People HR system ensuring all employees are using and updating when required.
- Producing monthly & ad hoc HR-related reports for senior management.
- Updating the uniform order system as required.
- Coordination of Health & Safety of all units in liaison with the external Health & Safety consultant.

- The ability to competently use Microsoft Office, Excel, Word, PowerPoint
- Strong written & verbal communication skills
- Strong organisational & coordination skills
- Evidence of an ability for excellent planning and organisation
- Attention to detail and accuracy is essential with a strong communicate to quality
- Demonstrate ability to adhere confidential information, discretion, tact, and diplomacy
- Ability to multitask and prioritise/handle competing priorities in a fast-paced environment
